The Assistant Director oversees the day-to-day office activities of the Paper Science and Engineering Foundation and serves as a liaison to numerous other departments within the Division and University. The Assistant Director provides support to students in the paper program and assists with fundraising efforts and maintains good corporate relations with foundation members. Annual position is eligible for renewal.
Duties/Physical Demands:
The principal responsibilities of the Assistant Director for the PS&E Foundation include:
Financial management of the Foundation's donations, scholarship awards and operating expenses. This includes both monthly and annual reconciliations and financial reporting. The Assistant Director serves as the primary point of contact for external auditors, Miami University Treasury Services, and General Accounting representatives.
Scholarship and enrollment management. Administer the scholarship program, including tracking all of the scholarship awards and preparing reports for the Executive team on current students, graduates, and permanent placement. Serve as an active member of the Enrollment & Scholarship committee, make award determinations, monitor compliance of the awardees, and track statistics for the committee. Work closely with the Office of Student Financial Assistance.
Event planning and facilitation of Career Fair Pre-Night Networking event and Annual Meeting & Banquet. This includes venue, catering, generation of signage and materials, marketing of event, and registration. Responsible for all aspects of planning, including the Board of Trustee's meeting, all committee meetings and Student Recognition Dinner.
Student recruitment and retention. Develop marketing materials and organize recruiting events to recruit new students into the program as well as retain existing students. Meet with students and their parents who have expressed interest in the program and reach out to undeclared engineering majors. Track outcomes of recruiting efforts and continually work to find ways to grow the number and quality of students studying the PS&E curriculum. Develop and monitor multiple programs to retain enrolled students, including the student-to-student mentoring program.
Provide student support, including serving as liaison to Treasurer for Student TAPPI, facilitating networking events with corporate representatives and providing networking coaching to new students, career coaching for resume writing and interviewing, and tracking of summer internship and co-op work experiences.
Assist with developing and implementing fundraising efforts. Examples include, Move in Miami and end of year appeal (Holiday card mailings).
Develop marketing communications, including the design and written content, targeted at donor base growth and retention. Publish newsletters to PS&E stakeholders. Co-administrator for the content of the Foundation's website and manage communication through other social media, such as LinkedIn groups, Facebook, and Twitter
Generation of the Foundation's Annual Report.
Database management. Maintain excel spreadsheets and database of graduate and donor information. Create reports and mailing list using this information.
Build and maintain relationships with individual and corporate donors as well as with campus partners in Career Exploration and Success and University Advancement.
Work proactively and independently to meet the expectations of stakeholders.
Minimum Qualifications:
Requires an Associate's degree in business or related field and 3 years of experience, or an equivalent combination of education and expertise.
Internal candidate with current appointment at Miami with specific knowledge of Banner, BuyWay, Chrome River, MiNE, OIBEE, and HandShake systems.
Event planning experience.
Must be comfortable working with students.
An eagerness to assist with fundraising efforts.
Excellent computer skills, including Microsoft Office, particularly Excel, and Google Mail; social media skills, strong organizational skills and attention to detail.
Candidate must have demonstrated business etiquette and aptitude for working with high-level corporate executives.
Preferred Qualifications:
Bachelor's degree in business or related field.
At least 12 months of experience working in the field of higher education.
Solid understanding of the principles of fund accounting.
Student support experience.

8:00AM-5:00PM during academic year; 7:30AM-4:30PM during summer months; may require working some evenings and weekends

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
